Executive Assistant

Job Summary
We are seeking a highly organized and proactive Executive Assistant to support our CEO. The ideal candidate will possess exceptional administrative skills, strong attention to detail, and the ability to manage multiple tasks efficiently. This role requires a professional demeanor, excellent communication skills, and a commitment to maintaining confidentiality while providing executive administrative support.

Duties

  • Manage the CEO's calendar, including scheduling meetings, appointments, and travel arrangements using Outlook Calendar.

  • Provide comprehensive executive administrative support by preparing reports, presentations, and correspondence for both CEO and other members of Leadership Team.

  • Coordinate projects and initiatives as directed by the CEO, ensuring timely completion of tasks and effective communication among stakeholders.

  • Handle clerical duties such as filing, data entry, and maintaining organized office records.

  • Organize and prepare for meetings, including gathering documents and attending to logistics of meetings.

  • Coordinate travel arrangements.

  • Assist in office management tasks to maintain a productive work environment.

  • Track high priority initiatives for the CEO and other members of Leadership Team.

  • Maintain various records and documents, both professional and personal, for CEO and President.

  • Coordinate relocation efforts to new office by middle of December 2024.

Qualifications

  • Minimum 5 years prior experience supporting senior level c-suite executives

  • Proficiency in computer literacy with a strong command of Microsoft Office Suite (Word, Excel, PowerPoint).

  • Experience in providing executive administrative support or similar roles is preferred.

  • Familiarity with project coordination principles and office management practices.

  • Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.

  • Excellent written and verbal communication skills to interact professionally with various stakeholders.

  • Attention to detail with proven proofreading abilities to ensure high-quality documentation.

  • Previous experience handling front desk responsibilities is a plus.
